Paste SKUs or upload a CSV
The exact format the Order Pad accepts when buyers paste SKUs and quantities or upload a CSV, how SKUs are matched, and what each message means.
Buyers who reorder from a spreadsheet or a purchase order can fill in the Order Pad in one step. Open Paste SKUs or upload a CSV, paste lines into SKU and quantity, one per line or choose a CSV file, and click Fill in quantities. Uploading a file fills in quantities straight away.
Format
One SKU and quantity per line:
SKU,Quantity
HE-1KG,6
ETH-1KG,4
OAT-12,12
CUP-12
- Separators. A comma, a tab or a semicolon. Each line can use a different one, so text copied from a spreadsheet, which uses tabs, works as is.
- Header row. The first line is skipped when its first column is “SKU” or its second isn’t a number.
- Missing quantity. Counts as 1.
CUP-12above orders 1. - Quantities. Whole numbers only. A line like
OAT-12,2.5orOAT-12,tencan’t be read. - Repeated SKUs. Added together, so
HE-1KG,6andHE-1KG,4order 10. - Extra columns. Only the first two columns are read, so a purchase order export with a description column after the quantity works.
- Files.
.csv,.tsvand.txtfiles.
How SKUs are matched
SKUs match exactly, ignoring upper and lower case.
- SKUs on rows already loaded on the page get their quantity in the row.
- Other SKUs are looked up across your store for signed-in buyers. A SKU counts when its product is active and, for B2B buyers, in a catalog their company location gets.
SKUs found that aren’t on the current page are listed under the table, each with a quantity field and Remove. They’re included in Add all to cart and in the line count, but not in the Subtotal. If the product’s row loads later, the item moves into it.
Logged-out visitors, who only see the pad with retail mode on, can only fill in rows already on the page.
Messages
| Message | Meaning |
|---|---|
| “Quantities filled in: 5.” | Five SKUs were matched |
| “Not found or unavailable: TEA-99, CB-9” | No active product has that SKU, it isn’t in the buyer’s catalog, or its row can’t be ordered |
| “Could not read lines: 3, 7” | Those line numbers couldn’t be read, usually because of a quantity that isn’t a whole number |
| “Could not look up SKUs. Try again.” | The lookup failed or ran too often. Wait a minute and try again. |
After filling in, the text box keeps only the lines that had a problem, so buyers can fix and resend them.
Limits
SKUs are looked up 200 at a time, and each buyer can run 10 lookups a minute. Large orders work, but pasting the same list over and over in a short time shows “Could not look up SKUs. Try again.”
