Collect resale certificates and other documents

Ask applicants for resale certificates, business licenses and other files, and find the uploads on the application and in your Shopify Files.

Updated 1 min read

Two kinds of fields collect files on the application form:

  • Resale certificate, a standard field. Add it from Standard fields in Add field.
  • File upload, a custom question for anything else, like a business license. It starts with the label “Business license”.

A form can have up to 11 file fields. Each field takes one file.

What applicants can upload

PDF, JPG and PNG files, up to 10 MB each. Upload fields show the hint “PDF, JPG or PNG, up to 10 MB”. B2B Desk checks a file’s actual contents, so renaming a Word document to .pdf doesn’t get it through.

Problem The applicant sees
Wrong file type “Upload a PDF, JPG or PNG file.”
File over 10 MB “The file must be 10 MB or smaller.”

Files upload only after the rest of the application passes its checks, so a rejected submission leaves nothing behind.

Where uploads go

Uploads are saved to Content › Files in your Shopify admin with neutral names like application-document-1729260000000-1.pdf. The applicant’s original file name isn’t kept, so names on your Files list don’t reveal who applied.

To open a document, open the application in B2B Desk. The Application card lists Documents, each with an Open link. Custom file questions show “Uploaded, see documents” as their answer.

Ask for a document after someone applies

If an applicant left out a document, click Request info on their application. They get an email with a private link to upload up to 3 files. See Ask an applicant for more information.

How long documents are kept

Documents are deleted together with their application, 12 months after you approve, decline or mark it as spam. If you uninstall B2B Desk, uploaded documents stay in your Files. See How B2B Desk stores your data.
