Ask an applicant for more information

Send an applicant a private link to upload a missing document, see what they get, and pick their application back up when they reply.

Updated 2 min read

When an application is close but missing something, ask for it instead of declining. The applicant gets an email with your note and a private upload link, and the application waits in Needs info until they upload.

Send the request

  1. Open a New application and click Request info.
  2. Under What do you need from the applicant?, write exactly what you need, for example “A copy of your resale certificate for Colorado.”
  3. Click Send request.

You’ll see “Request sent”. The application moves to Needs info with the banner “Waiting for the applicant”, and your note is added to the Timeline.

What the applicant gets

An email with the subject “We need a little more information” containing your note and an upload link that works for 14 days. Edit the wording under Settings › Applicant emails › More information needed.

The link opens a page titled “Upload the requested documents” with your note. The applicant can upload up to 3 files (PDF, JPG or PNG, up to 10 MB each) and then sees “Thank you, we received your documents”. The page takes files only, not a written reply. Replies to the email go to the reply-to address you set in Settings › Notifications.

When they upload

  • The application moves back to New, so it’s in To review again.
  • The files are added to the application’s Documents.
  • The Timeline shows “Applicant uploaded documents”.

After 14 days the link shows “This link is invalid or has expired”, and asks the applicant to reply to your email. Request info isn’t available while an application is in Needs info, so you can’t send a second link. Ask the applicant to email you the document instead, check it, and approve. Or decline, and ask them to apply again.

While an application is in Needs info, you can still Approve, Decline or Mark as spam it.
