How B2B Desk stores your data

Where B2B Desk keeps applications, documents, settings and saved lists, what its own database holds, how long data is kept and how privacy requests work.

B2B Desk keeps your wholesale data in your own Shopify store, as data that belongs to the app. Its own database holds only what it needs to run.

In your Shopify store

Data Where
Applications, with answers, addresses and the approval log App data called Wholesale application
Approval presets, auto-approve rules, email templates and settings App data called Approval preset, Auto-approve rule, Email template and B2B Desk settings
Saved order lists App data called Saved order pad
Uploaded documents Your Shopify Files, with neutral names
Application details on approved companies Company metafields, such as Approved at and Application answers
Companies, locations, contacts, payment terms and pricing Shopify’s own B2B records

You can see the app data in your Shopify admin, but only B2B Desk can change it. None of it is visible on your storefront.

In B2B Desk’s own database

  • Your store’s login session with B2B Desk, and basic store details like its name, email, time zone and currency.
  • Counters for rate limits and monthly usage. Email and network addresses are only stored in scrambled form.
  • Records of bulk actions on the Catalogs page, so they can be undone.

Background jobs pass record IDs, not personal details, and staff notifications name the company without the applicant’s contact details.

How long data is kept

“Approved, declined and spam applications are deleted 12 months after the decision, with their documents.” A daily job does this. Spam has no decision, so its 12 months count from when it was last changed.

Applications that are New, Needs info or Approving aren’t deleted. Export applications before they’re removed if you need a longer record. See Export your data.

Privacy requests

  • A customer asks to be erased. When Shopify sends an erasure request, B2B Desk deletes that person’s applications, their documents and their saved order lists.
  • A customer asks for their data. Export applications to CSV and find theirs by email. Their documents are in your Files, linked from the application.
  • You uninstall. See Uninstall B2B Desk.
