Get notified about new applications

Send every new wholesale application to staff email, a Slack channel or your own webhook, one at a time or as a daily digest, without sharing applicant details.

Updated 2 min read

Set up notifications in Settings › Notifications so no application waits unseen. Every channel you fill in gets each new application. Messages name the company and link to the application in B2B Desk, without the applicant’s contact details.

Channels

Channel Field Notes
Email Staff emails One address per line, up to 10. All addresses get the same message.
Slack Incoming webhook URL Posts to the channel the webhook belongs to. Starts with https://hooks.slack.com/services/.
Webhook Endpoint URL Receives a JSON POST. Use it for Zapier, Make or your own system.

Webhook and Slack URLs must be public https addresses. Click Send test next to either one to post a sample message to the URL in the field, even before you save. You’ll see “Test sent to Slack” or “Test sent to webhook”, or the reason it failed, such as the URL’s server returning an error.

Get a Slack webhook URL

In Slack, create an app for your workspace, turn on Incoming Webhooks, click Add New Webhook to Workspace and choose the channel. Copy the URL Slack shows. Slack’s guide has the details.

How often

Frequency You get
For each application (default) A message on every channel as each application arrives
Daily digest One message each day at 8:00 UTC listing applications from the last 24 hours that are still New. Nothing is sent on days without any.

Notifications go out for every new application, including ones an auto-approve rule decides a moment later. They aren’t sent when an applicant uploads documents you asked for.

What the messages say

Email subject: “New wholesale application: Northwind Café”. Email body and Slack message:

Northwind Café applied for a wholesale account.
Review it: https://admin.shopify.com/store/your-store/apps/…/applications/…

The daily digest’s subject is “3 new wholesale applications”, with one line per company and link.

Where applicant replies go

Applicant replies › Reply-to address isn’t a notification, but it lives here. Applicant emails come from B2B Desk, and when an applicant replies, the reply goes to this address. Without one, replies go to B2B Desk’s sending address, so set it to an inbox you read.
