Save your approval settings as presets

Save the payment terms, pricing tier, tax setting, contact role and tags you give most buyers as a preset, so approving takes one click.

Updated 2 min read

A preset is a saved set of approval settings: payment terms, draft orders, pricing, tax exemption, contact role and customer tags. Pick one on an application to fill in the approval form, then click Approve. Auto-approve rules need presets too, since a rule approves with one.

Make one preset per kind of deal you offer, for example “Wholesale · Net 30” for established cafés and “Wholesale · Pay at checkout” for new accounts.

Create a preset

  1. Go to Settings › Approval presets and click Create preset.
  2. Give it a Name that describes the deal. Reviewers pick presets by name.
  3. Under Payment and checkout, choose Payment terms, or No payment terms so buyers pay at checkout. Tick Review orders before they’re placed if orders should arrive as drafts for you to approve.
  4. Under Pricing, pick the Pricing tier (B2B market). On Plus, pick Catalogs.
  5. Under Tax, tick Tax exempt if no tax should be charged on this location’s orders.
  6. Under Contact, choose the Role at the location and any Customer tags, separated by commas.
  7. Save.

The Summary beside the form describes the preset in plain words, starting with “Approving with this preset creates the company, location and contact in Shopify, then:” followed by each setting, such as “Sets payment terms to Net 30”.

The payment terms and markets you can choose come from your Shopify store, so set them up in Shopify first. See What you need before you start.

Use a preset on an application

In the approval form, choose a preset under Apply a preset. It fills in payment terms, draft orders, tax exemption, pricing, role and tags, and turns off the editable shipping address option. It leaves the company, contact, tax ID, tax exemptions and welcome email as they are. You can change anything before you click Approve.

Which rules use a preset

The presets list shows “Used by 2 rules” on presets that rules approve with. The preset’s page lists those rules with an On or Off badge, or offers Create a rule if none use it yet.

Delete a preset

Open the preset and click Delete preset. Companies you already approved with it keep their terms and pricing.

If a payment terms option, market or catalog a preset uses is deleted in Shopify, the preset shows it as “Deleted payment terms”, “Deleted market” or “Deleted catalog”. Edit the preset to choose another.
